What We Do DCYF is the lead agency for state-funded services that support children and families to build resilience and health, and to improve educational outcomes. To truly give all children the great start in school and life they deserve, DCYF was created to be a comprehensive agency exclusively dedicated to the social, emotional and physical well-being of children, youth and families — an agency that prioritizes early learning, prevention and early intervention at critical points along the age continuum from birth through adolescence. History DCYF is the state’s newest agency. It oversees several services previously offered through the state Department of Social and Health Services and the Department of Early Learning. These include all programs from the Children’s Administration in DSHS such as Child Protective Services’ investigations and Family Assessment Response, licensed foster care, and adoption support. Also included are all DEL services, such as the Early Childhood Education and Assistance Program for preschoolers, Working Connections Child Care, and Home Visiting. Starting in July 2019, DCYF also will administer programs offered by the Juvenile Rehabilitation division and the Office of Juvenile Justice in DSHS. Those programs include juvenile rehabilitation institutions, community facilities and parole services. Governor Inslee signed House Bill 1661 on July 6, 2017, creating DCYF. The new agency restructures how the state serves at-risk children and youth, with the goal of producing better outcomes in all Washington communities. Its creation follows the suggestions of the bipartisan Blue Ribbon Commission on the Delivery of Services to Children and Families convened by the governor in February 2016 to recommend a state system that focuses more clearly on preventing harm to children and youth.

Job description

The Department of Children, Youth, and Families is a new cabinet agency in Washington State that has been established for the purpose of delivering existing services in a way that produces better outcomes for children, youth, and families served by the State of Washington.
 
We're looking for professionals to join our team to help build DCYF, working toward the common goal of eliminating child and youth outcome disparities based on race and ethnicity. Our vision is that "All Washington's children and youth grow up safe and healthy-thriving physically, emotionally, and educationally, nurtured by family and community." 
 

The Opportunity:
We are seeking an intelligent, motivated administrative professional to join our team in Seattle, WA. As the Administrative Assistant 5 you will get to provide confidential, high-level administrative and executive-level support to the Regional Administrator for Region 4. Some of the duties you will perform:



  • Serve as the Regional Administrator's principle assistant with delegated authority to accomplish their administrative responsibilities and assignments.

  • Plan, organize, coordinate, and develop region-wide administrative goals, objectives, and procedures.

  • Compile and analyze data and review Area Administrator and staff work for Completeness, making or directing changes when necessary.

  • Supervise, plan and coordinate Forms and Records Analysts' workload and assignments.

  • Monitor the performance of staff, including completing Performance Development Plans in a timely manner.

  • Develop and deliver training to staff.

  • Accurately communicate policy and procedure to staff.

  • Review and ensure accurate, timely work for consistency and quality.

  • Approve the filling of FTE allotments and documentation of approval by ensuring completion of appropriate documentation, including but not limited to employee and position action request, and position descriptions.

  • Manage and track travel arrangements for the Regional Administrator and the Deputy Regional Administrator and their direct reports.

  • Approve travel advances and funds to purchase equipment and services in accordance with laws and policies.

  • Assess, plan, maintain, improve, and monitor facility needs throughout the region.



 
What we are looking for:



  • High School Diploma or GED equivalency and one year of experience as an administrative assistant 4 (or higher), or two years of experience as an administrative assistant 3.


-OR-


  • Bachelor's degree in business administration, public administration, or closely allied field and three years of experience providing professional level administrative support. Additional qualifying experience and/or education may be substituted year for year.


 
In addition to those required qualifications, our ideal applicant will also have some or all of the following:



  • Ability to interact with co-workers and the community appropriately and professionally to maintain good teamwork and customer relationships.

  • High degree of proficiency with Microsoft Office Suite.

  • Ability to work independently to establish priorities and organize work to enable completion of assigned task through exercising good judgment, problem solving ability and multi-tasking to complete all assignments in a timely and accurate manner.

  • Ability to make reasonable judgments in complex and changing organizational environment.

  • Ability to maintain confidentiality of client and personnel information.

  • Ability to analyze sensitive issues in an objective and realistic manner and provide advice and consultation on these issues.

  • Ability to troubleshoot and resolve computer hardware, software, and other electronic equipment issues.

  • Ability to create presentations, complex charts and graphs, and electronic forms. Ability to write and prepare clear and effective reports and other documents.

  • Ability to create and maintain tracking and monitoring systems.
