Job description

Work Schedule:


FT; Monday-Friday, 8:00am-5:00pm.


General Description:     


The Administrative Support Assistant provides general support to the daily operations of the Office of Student Financial Services, including answering calls, greeting and assisting walk-ins, responding to office email, preparing mailings, tracking and organizing incoming documentation, maintaining a welcoming reception area, and providing general supervision of the student workers. This position reports to the Associate Director. 


Essential Functions and Responsibilities:            



  • Serve as the first point of contact for the department and represent Student Financial Services (SFS) with professionalism.

  • Answer incoming phone calls and office email from current and prospective students and families.

  • Greet walk-ins and provide current and prospective students and families with general financial aid, billing, and payment information.

  • Utilize Banner to answer student-specific questions regarding billing, payment, and financial aid.

  • Maintain current knowledge of federal, state, and institutional financial aid regulations and policies.

  • Make suggestions to SFS leadership regarding website content and communications to students and families.

  • Perform general office duties, including scanning, copying, filing, etc.

  • Schedule student and family appointments for SFS staff members.

  • Organize, track, and file incoming documentation to complete financial aid applications.

  • Assist office in becoming paperless through transition to imaging system.

  • Coordinate and prepare mailings, especially financial aid award letters.

  • Oversee ordering of supplies for the office.

  • Supervise student workers, including scheduling of hours and oversight of student employee budget.

  • Maintain a front desk and reception area that is welcoming, organized, and friendly.

  • Provide limited administrative support to the Dean of Enrollment Management & Student Financial Services, including scheduling committee meetings, booking travel arrangements, etc.

  • Perform other duties as assigned.

  • Ability to communicate with a diverse constituency including PLU offices, external public, students, parents, and others requesting information or assistance.

  • Strong customer service and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Ability to maintain confidentiality.

  • Ability to multi-task and prioritize projects, assignments, and duties.

  • Knowledge of Microsoft products, including Word, Excel, and Powerpoint.

  • Knowledge of Google products, including Gmail, Gcal, Google Docs, etc. 


Required Qualifications:             



  1. One and a half years of administrative experience.

  2. High school diploma or GED.

  3. Finalist applicants must satisfactorily complete pre-employment credit and background check. 


Preferred Qualifications:            



  • Bachelor’s degree.

  • Experience in higher education or financial aid.

  • Spanish language proficiency.

  • Experience serving a diverse customer base.
