Job description

This position will be a pivotal role in providing administrative support to the CEO. You will need to bring your insane organizational skills, incredible attention to detail, and commitment to excellence to handle varied tasks in a fast-paced environment while ensuring impeccable communication and timely execution of actions.


  • Providing administrative support to the CEO. Proactively manage, update, and maintain his calendar across multiple time zones with attention to accuracy and detail while recognizing the need to re-prioritize as business initiatives change

  • Organizing and scheduling meetings and/or conferences to coordinate calendars, prepare materials and facilities, and make necessary arrangements for web connectivity when necessary

  • Coordinating and managing travel arrangements and trip planning for both domestic and international travel

  • Preparing and processing expense reports and invoices

  • Producing a variety of correspondence, reports, and presentations using the appropriate software for word processing, graphics, and spreadsheets

  • Performing general administrative activities including screening and directing incoming phone calls, composing and typing general correspondence including emails, and prioritizing, distributing, and acting on mail

  • Setting meetings with high-profile individuals


  • At least 2-3 years of relevant experience in an administrative or related support role where you were the center of cool and calm while maintaining executive support

  • Maintain a professional manner of tact and diplomacy in a professional work environment

  • Advanced experience with calendar scheduling

  • Proficient with Microsoft Office applications

  • Accurate and methodical in approach to managing tasks

  • Ability to handle confidential and sensitive information
