About the Division:
The Office of the Chief Information Officer (OCIO) within Washington Technology Solutions (WaTech) is looking for someone who shares our passion for making a difference.  One portion of the OCIO's unique role in state government is to:

  • Provide independent oversight, accountability and transparency to major IT projects conducted by state agencies

  • Build supporting structures so that state agency projects can be successful in achieving intended outcomes using sound project management

  • Establish standards and policies for efficient and consistent technology practices and operations within state agencies

  • Educate and inform policy leaders on the health and status of the state's overall technology portfolio

What would you be doing in this role? 
Washington Technology Solutions is currently seeking an Administrative Assistant 3 to provide quality and reliable administrative services to the Office of the Chief Information Officer's (OCIO) Senior IT Policy and Management Consultant team and two program committees.
The selected candidate will perform a variety of duties associated with program administration to assist in the effectiveness, efficiency and productivity of these groups. This includes independently coordinating the administrative functions of the IT project oversight process, coordinating meetings and events and providing finance and accounting support.

  • Conduct IT investment intake – process and track submittals, including project assessments, funding requests, investment plans and decision packages, through the oversight process workflow, determine next steps and scan and store documents according to document retention schedules.

  • Administer and manage IT project dashboard and SharePoint logs with daily uploads and maintenance.

  • Coordinate meetings to include scheduling, agenda planning, tracking attendance, room logistics such as arranging for presentation equipment and technical assistance, managing remote meeting applications and taking meeting minutes.

  • Process purchasing requests, staff training requests, travel authorization requests and arrangements and reimbursements.

  • Provide investment plan approval support, as needed – prepare correspondence for signature, obtain signature, scan and store documents and email to appropriate contacts.

Here is what we are looking for:

  • High School Graduation or GED and three years of progressively responsible experience in administrative or senior-level office/clerical experience. College-level education may substitute for two years of required experience.

  • Advanced level working experience with personal computer and standard computer software to include Microsoft Outlook, Word, Excel, SharePoint, PowerPoint and Adobe Acrobat.

  • Experience staffing a committee that includes preparing and distributing meeting materials, taking meeting minutes and distributing follow up items to committee staff and members. 

  • Excellent interpersonal skills to work in a team environment.

An ideal candidate may also have these desired qualifications:

  • Knowledge of Washington State travel policies and/or experience working with the state's Travel & Expense Management System (TEMS).

  • Experience drafting and/or editing correspondence.

  • Knowledge of state records retention requirements.  

  • Knowledge of applications such as WebEx and/or Skype.
