Business Administrative Assistant (Magnolia)

Our busy business is in need of an experienced office assistant with several skill sets.

The ideal applicant will be able to juggle various tasks, work efficiently and accurately in a fast-paced atmosphere and possess excellent written and verbal communication skills. Applicant will need to be extremely computer savvy (MS Office; Word, Excel), be very proficient with QuickBooks (preferably with manufacturing/purchasing functionality), possess a professional phone manner, amazing organizational skills, a willingness to learn and support, be flexible to the needs of the business and be able to work using own initiative.

Experience with Manufacturing and/or Government and ISO: 9001 programs is a plus.

A sampling of some responsibilities includes:

• Answering incoming phones -- 3 lines

• Procurement: Product sourcing, assisting with RFQ process, entering purchase orders, maintaining purchase orders, interacting with our supplier base for follow up, receiving delivery detail into our system

• Entering customer orders, generating order acknowledgements, invoicing

• Assisting with reports

• Ordering office and shop supplies

• Data/Filing management

• Assisting with administrative projects and programs as needed

• Assisting with working in a Government database to retrieve information, search queries and input data as it relates to the company orders.


We are a small business near Fishermen's Terminal in Magnolia. Our work atmosphere is casual and busy. Position is full-time. Our general business hours are 7AM -- 3:30PM. This is a non-smoking environment. We offer benefits.
